What is a Case Study Template?

A case study template is a storytelling framework used to document how a specific challenge was solved for a client or user. It follows a logical arc—moving from the "Before" (The Problem) to the "After" (The Result). Unlike a white paper, which is theoretical, a case study is evidence-based, using real-world data and testimonials to build authority and trust.

A case study is a sales tool. Before publishing your draft, apply these three expert "health checks":

1. The "Hero’s Journey" Narrative Audit

The Audit: Is your company the hero of the story, or is the Client the hero?The Fix: Audit your Perspective. Your company should be the "Guide" (the Yoda), and the client should be the "Hero" (the Luke Skywalker). If the story is all about how great your software is, it feels like an ad. If the story is about how the client overcame a massive hurdle using your tool, it feels like an inspiration.

2. The "Hard Data" Verification

The Audit: Are you using vague adjectives like "significant improvement" or "faster workflow"?The Fix: Audit for Specific Metrics. A professional case study requires "The Big Three":

  • Money: (e.g., "Saved $50,000 in operational overhead")

  • Scale: (e.g., "Increased user capacity by 10x") If you don't have a number, you don't have a case study; you have a testimonial.

3. The "Visual Proof" Test

The Audit: Is your case study a "wall of text" that nobody will read?The Fix: Audit for Scannability. Use your template to include "Callout Boxes" for key stats and "Before & After" visuals. A lead should be able to look at the page for 5 seconds and understand the exact value you provided without reading a single paragraph.

Key Components of a Case Study Template

A high-performance case study requires these five core elements:

  • The Executive Summary: A "TL;DR" (Too Long; Didn't Read) section at the top with the 3 biggest wins.

  • The Challenge (The Villain): A detailed look at the pain points and risks the client was facing.

  • The Solution (The Weapon): Why your specific approach or product was chosen over competitors.
