Workshop - Definition of Done

Report

Introduction

Hi, I’m Mat. Over the years, I’ve worked with many teams and often help them define (and redefine) a shared understanding of what “Done” means.

In Scrum, there is a commitment called the Definition of Done—a clear, agreed-upon checklist or set of criteria that a Product Backlog Item must meet before it can be considered ready for delivery or release.

I’ve facilitated this process so many times that I thought I’d share a template I use to help guide the facilitation.

Who is this for?

This template is especially useful for new teams but can also benefit established teams to stay aligned as things evolve. The outcomes can greatly reduce conflicts and help new team members understand what is expected.

Features

  • Designed for 3-9 people (can be adapted for other group sizes)

  • Suggested timeboxes to keep the session moving at a reasonable pace

  • Detailed instructions for both the facilitator and participants

  • A working example included

  • Opportunities for individual reflection and team collaboration using breakout rooms

  • A collective agreement on what is important
