Preparation

Set the date, send the invitation, be hospitable

  • as with all event coordination, make it easy for people to attend

  • choose a location so people can be there

  • be ready to facilitate or have someone who will - see facilitating the flow

  • minimise the barriers to participation where you can

For when you meet in person:

  • sticky notes

  • something to write with (markers work well because they’re visible from farther away)

  • a timing device (e.g., a smartphone)

  • a space to meet with a table and chairs (that works for small group conversation)

  • people (who are willing to turn up to gain some learning)

  • optional: a camera (to take pictures of actions and idea maps)

No massive expensive and the lowest barriers to entry we can sustain.

For when you meet in the virtual:

  • an electronic whiteboard with sticky notes (with the ability for all people to contribute, e.g., Miro)

  • a timing device (e.g., a smartphone, on-screen timer, someone to play timekeeper)

  • a space to meet with a table and chairs (that works for small group conversation)

  • people (who are willing to turn up to gain some learning)

  • optional: a camera (to take pictures of actions and idea maps)

  • A graphic scribe can enhance the in-person or online experience by drawing/illustrating the conversation on the fly - this makes for a memorable and engaging Lean Coffee and a fun (valuable) artifact to take away for pondering afterwards.
