Why live Q&As are the heart of successful events
No matter how polished your presentation may be, they’re typically designed to deliver information in one direction. Live Q&As bridge the gap between a simple presentation and a valuable conversation. It moves audiences away from feeling like spectators and towards really being heard.
But without a clear strategy, live Q&As can quickly become disorganized or dominated by a single voice. The solution isn’t to control the Q&A, but instead to structure it with intention. This means having a system for collecting, filtering, and prioritizing questions before they’re asked out loud.
It can also help to have a moderator for the Q&A, so that the speaker can focus on answering efficiently, rather than filtering through questions.
Streamline your Q&A livestream with Miro Engage
For event hosts who want a command center for their live Q&As, Miro Engage is ready to integrate into your presentations, workshops, and meetings.
Participants can submit questions from their devices without disrupting the flow of the session. Then, on the Miro board, moderators can use sticky notes to capture and cluster questions by theme, or use Miro’s built-in Q&A and Polls features to collect input at scale. This means no one’s question gets buried in the chat feed.
Using these tools transforms these live Q&As into organized and intentional activities, rather than just reactive. Facilitators can stay ahead of the content, and audiences feel heard.

5 tips for managing Q&A events like a pro
Whether you’re running a 20-person face-to-face meeting or a 2,000-person virtual conference, these techniques are designed to help you run efficient and effective live Q&As.
1. Curate questions in real-time
The biggest failure in a Q&A livestream is treating the question queue in a first-in, first-out format. This approach can be long, messy, and often boring for the audience.
Miro solves this with a spatial approach. As questions come in through the Miro Q&A feature, sticky notes, or poll, moderators can drag and drop the strongest questions into a dedicated “Priority” frame on the canvas. This frame is visible to the speaker and any moderators, creating a live, shared queue that the hosting team can see and act on simultaneously.
This way:
- The speaker can address the curated questions in an order that makes sense
- There is less chance of duplicate questions
- The audience then becomes involved in a focused, well-paced session
- The moderator is actually in control of the session
Pro tip: Label your Priority frame on the canvas clearly, so that all speakers can glance at the board and know what’s coming up next.
2. Use "Upvoting" to find common ground
One of the most effective ways to drive a successful live Q&A is to let the audience decide which questions are most important. This ensures your Q&A time is spent on the most relevant topics that your audience resonates with.
Use Miro’s Voting tool after you’ve collected your questions, then give participants a set number of votes to distribute across the submitted questions. The top-voted questions then surface automatically, giving real clarity on what the audience considers important.
This approach helps quieter voices have their say, and then the Q&A session becomes genuinely representative.
Pro tip: For larger events, set a short voting window and display a countdown timer on the Miro board. This time pressure encourages quick, instinctive votes.
3. Manage the "Live" pressure with Private Mode
Take the pressure off participants with Private Mode. This can lead to questions being submitted that the audience is usually hesitant to ask. And often, it’s these that are the ones most worth discussing.
Miro’s Private Mode lets participants:
- Submit questions without anyone else seeing who wrote what
- Have confidence to share what’s really on their mind
- Ask challenging, personal questions to senior leadership
- Get clarity on something they may have missed without any embarrassment
4. Visualize the answers
Bring your live Q&As to life with visual tools. Miro’s pen tool lets a facilitator sketch out an answer live on the canvas. This helps the Q&A move from just a verbal discussion to a visual and shared understanding.
This comes in handy when speakers are explaining a decision-making process, answering a question about market positioning, or mapping out timelines. Not only does this make it easier to understand and more memorable, but it also creates a record. At the end of the session, every answer that was visualized on the Miro board is ready to be shared.
Pro tip: The Miroverse template gallery includes a range of frameworks like the 2x2 matrix, process maps, and timelines that can be pulled onto the canvas mid-session, so speakers don’t need to start from scratch.
5. Archive and follow up
Often, a live Q&A generates more questions than can be answered in the time slot. In traditional sessions, unanswered questions get left behind, and the audience never hears back.
A Miro board doesn’t just let the data disappear. Every question submitted during the event, whether it was answered or not, remains on the canvas and can be shared as a link with your team or audience after the event.
This enables your team to analyze which questions need a follow-up or need more information, and makes it easier to reach out to your audience post-event.
This turns a one-off Q&A session into an ongoing conversation and ensures your audience doesn't feel forgotten.
Our customer’s story
For teams running large-scale, interactive experiences, managing input from multiple sources can quickly become overwhelming. At Typeform, Miro became the central workspace that brought clarity and structure to collaboration-heavy workflows.

FAQs
How do I handle difficult or off-topic questions in a live Q&A?
Acknowledge the question respectfully, then guide the conversation back to your core topic. If a question is off-topic, let the audience know you’ll follow up after the session or address it separately.
For sensitive or challenging questions, a moderator can help filter and reframe them so the speaker can respond clearly and constructively without disrupting the flow of the event.
How can you encourage more audience participation in Q&As?
Make sure to use Private Mode so your participants can make anonymous submissions. This can help quieter voices in the room have their say, as well as giving you the chance to collect real, honest feedback. Interactive tools like polls, voting, and visual boards also make participation feel more engaging and less intimidating.
Is there a Miro template specifically designed for live Q&A sessions?
Yes. The Miro Template Gallery includes Q&A, workshop, and event facilitation templates, with tools like priority queues, parking lots, voting zones, and follow-up frames, so you don't need to build your Q&A workflow from scratch.
What is the best way to collect questions during a live Q&A event?
The most effective way to collect questions is to centralize everything in one shared, interactive workspace. With Miro, participants can submit questions directly onto a board using sticky notes, dedicated Q&A tools, or polls, without interrupting the flow of the session.
All questions live on the Miro board itself, meaning they don’t disappear after the event ends. Moderators can cluster, prioritise, and tag questions during the live session, and then the same board becomes a single source of truth for post-event follow-up. This makes it easy to review unanswered questions, share insights with your team, and continue the conversation with participants after the event.
How do you keep a live Q&A session organized during an event?
The key is to structure the flow before questions are asked. Use tools like Miro Engage that allow you to collect, group, and prioritize questions in real time, rather than relying on a chat feed. Having a dedicated moderator also helps ensure the session stays focused and balanced.
