Start interviewing every user of the technology and note use cases.
This template is ideal for live conversations as users tell you what they like and don't like about the technology. Probe for pain points and enhancement wishes. For each use case, add sticky notes documenting what users say works/doesn't work (or works poorly), and what enhancements they need to deliver fully on the use case. Color-code each sticky note (green=works well, yellow=desired enhancement or simply a fact, red=doesn't work well). This will give you a quick visual indicator of tools that need the most work. I also add pink notes to call out questions that still need answers.
Document data integrations (e.g., CRM) and outputs (e.g., client emails).
Finish with recommendations for improvement or replacement.
You might also add aspirational tools to document use cases you hope it will solve. Then use this template during your evaluation of the new technology you are considering adding to your stack.
