Introduction

You can use this template to identify needs between teams or people. It makes transparent what each team needs or where some misalignment is happening.

This workshop can be done with 100 people as most of this workshop happens in breakout rooms.

Preperation

Setup meeting

Set up an online meeting with a tool that supports breakout rooms. (90 minutes)

Tip!

Prepare the breakout rooms beforehand. You will not have time to assign people in breakout rooms beforehand.

Prepare the board

Add the name of each team to each frame.

(optional) add the name of the team already on the sticky notes where they define their needs.

Make sure everything is locked expect the sticky notes and the responses.

During the meeting

Introduction

  • Welcome everyone to the meeting.

  • Explain that this is a fast-paced meeting with hard time boxes. It is okay to feel rushed.

Breakout: (15 min)

  • Define all your needs towards other teams.

  • Describe what you need from them.

  • Select a spokesperson who can present the needs.

Together: (15 min - 2min/team)

  • Spokesperson presents the needs and places them on the receiving team's board. (Needs from others)

Breakout: (10 min)

  • Look for needs that need more clarification from your side.

  • Are there already needs you can fulfill or where you can do your best?

  • Are there needs that will not be possible?

It's okay if you could not give an answer to all the needs. Focus on the clarification first.

Together: (10 min)

  • Spokespersons present the responses from the team.

Breakout: (10 min)

  • Debrief and define next steps (ex. set up meeting on Tuesday to further clarify topics, ...)

Outro

  • Thank everyone for their contribution.

  • If there are still open questions around the needs mention the importance to follow up on them.
