You’ll be joining a team of 6 Executive Assistants who operate in an agile environment where there is opportunity to drive results, solicit feedback for learning, improve ways of working, and develop personally and professionally while contributing to a people-focused workplace culture.

About the role

As the Executive Assistant to the Chief People Officer, you will be their right-hand person with all things administration, scheduling, and prioritizing. If you are a self-starter and are able to succeed in an unstructured work environment with a strong desire to complete projects by deadline, this is your role. You will have exposure to all areas of the business and confidential matters and will work autonomously and as part of the Executive Support team. Regular interactions with senior executives and communicating and collaborating across multiple departments will be a part of your day-to-day and being an energetic go-getter who enjoys delving into special projects and taking ownership of duties in an agile environment is key. 

What you’ll do

  • Oversee complex calendar and scheduling requirements, being an enabler and protector of executive time
  • Proactively anticipate and track critical dates, events, and associated achievements or deadlines
  • Provide support for essential team events, meetings, presentations and offsites, including but not limited to preparation (agenda), making notes, follow-up activities, etc.
  • Draft and oversee executive correspondence and communications. Lead internal communications within the People org on behalf of the CPO and her team
  • Act as the liaison for executives, employees, clients and other external partners, maintaining a sense of integrity and collaboration
  • Partner with internal stakeholders on projects, initiatives and events
  • Manage end-to-end travel needs, including logistics and visas, coordinating itineraries across multiple functions
  • Work independently on projects, from conception to completion and feels comfortable in high volume and confidential situations

What you'll need

  • 5+ years full-time executive support, ideally supporting C-level executives in People or Product at a high growth organization
  • Ability and comfortability identifying gaps and streamline processes with little or no mentorship from others.
  • Outstanding organizational and time program/project management skills
  • Excellent verbal and written communication skills
  • Experience with international travel coordination
  • Highly proficient in Google Apps, particularly Google Calendar, and Google Docs as well as other efficiency and collaboration tools, such as Slack.
  • Able to deliver a high level of discretion and confidentiality at all times
